Privacy policy

How CrewTend handles account information, business records, communications, and public tools.

Our role

CrewTend manages information needed to operate our website, accounts, billing, and support. When a service business uses CrewTend for its customers or employees, that business generally decides why its business records are collected and how they are used; we process those records to provide the service. Ask that business about its own collection practices. You can also contact crew@crewtend.com and we will help route your request.

Information processed

Depending on features used, we process account and business contact details; roles and access settings; customer and lead records; addresses and optional location information; job, schedule, estimate, invoice, and payment-reference data; uploaded documents and media; consent records; communication content and delivery status; support requests; and device, security, and activity logs. A payment provider handles full payment credentials when its hosted payment forms are used. Do not place payment card numbers, passwords, government identifiers, or unrelated sensitive personal data in notes or AI prompts.

Purpose and access

We use information to deliver requested features, authenticate users, synchronize work, prevent abuse, support customers, manage billing, and maintain the service. Authorized company members can access records according to their roles. Connecting an integration authorizes the processing necessary for that integration. We do not make tenant records available to unrelated subscribers.

AI and communications

When enabled, selected prompts, approved company knowledge, and relevant record or conversation excerpts may be sent to an AI provider to generate output. Delivery providers process recipient details and message content when communications are enabled. Call recording or transcription, where available and configured, requires appropriate notice and consent. Company operators control which workflows and integrations they enable. Do not assume a draft has been sent or a call recorded without its recorded status.

Public PDF & Sign

The standalone PDF & Sign processes selected PDF files in your browser on your device. Opening, editing, and downloading a PDF there does not upload its contents to CrewTend. The page itself still involves ordinary website delivery and security requests. Saving a copy as an attachment inside an authenticated workspace is a separate upload action. Files downloaded or stored on your device remain under your control.

Cookies and advertising choices

Essential storage supports sign-in, security, privacy choices, and application functions. Optional analytics and advertising scripts are off until you accept them. You can reject or change the choice through Cookie choices / Do not sell or share. We honor Global Privacy Control as an opt-out for optional site measurement. When a business enables advertising conversion feedback, it must supply an appropriate lawful basis and permissions for that processing. Hashing a contact identifier does not make it anonymous.

Sharing and providers

We use infrastructure and feature providers to process data for the service. Depending on what is connected, these may include hosting and storage, identity, email, AI, telephony, payments, and advertising platforms. We may disclose information when legally required, to protect rights and security, or in a business transfer subject to appropriate protections. We do not sell contact lists. Mobile opt-in information is not shared with unrelated parties for their own marketing.

Retention and deletion

We retain information while needed to provide requested services and for legitimate operational, security, financial, dispute, and legal purposes. Different record types and provider services have different retention needs. Request deletion or an export through Privacy requests. Some records may need to be retained, and backup copies may expire on a different cycle. Deleting a local app or cancelling a subscription does not itself delete all records.

Your rights

Depending on your location and applicable law, you may request access, correction, deletion, a portable copy, or an opt-out from sale, sharing, targeted advertising, or certain profiling. You may designate an authorized agent where permitted. We verify requests proportionately and respond within applicable deadlines. If we deny a request, you may appeal by replying to our decision or emailing crew@crewtend.com with “Privacy appeal”; you may also contact the relevant regulator. We do not penalize you for exercising applicable privacy rights.

Security, location, and children

We use access controls and operational safeguards, but no service can guarantee absolute security. Data may be processed in the United States and other locations used by our providers, subject to applicable safeguards. CrewTend is intended for adult business users, not children under 18. Report suspected unauthorized access or inadvertent collection of a child’s information to crew@crewtend.com.
