An equipment record that survives the handoff

Identify it

Record equipment type, brand, model, serial number, installation date and the exact property location. Photograph the data plate while it is readable.

Connect the documents

Attach the customer receipt, manufacturer documentation, installation record and any registration confirmation. Mark unverified warranty terms as unverified.

Keep observations factual

Separate the reported symptom, tests performed, observed result and approved work. Preserve the previous findings when recording the next visit.

Plan maintenance

Use manufacturer requirements and actual usage where available. Schedule a reminder with a named owner and record when maintenance is completed.
